FleetGuard ("we", "our", or "us") is committed to protecting your personal information and your right to privacy. This Privacy Policy explains what information we collect, how we use it, and what rights you have in relation to it. By using FleetGuard, you agree to the terms described in this policy.

2. Information We Collect

We collect information you provide directly when you create an account, set up an organization, add vehicles or team members, or contact us. This includes:

  • Account information: name, email address, and password credentials managed via Clerk.
  • Organization information: organization name, roles, and team member details.
  • Fleet data: vehicle records, damage reports, documents, and associated metadata you upload.
  • Usage data: pages visited, actions taken, timestamps, and browser or device information collected automatically via logs.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the FleetGuard platform.
  • Authenticate users and enforce role-based access controls within your organization.
  • Store and retrieve fleet data, documents, and damage reports on your behalf.
  • Send transactional communications such as account confirmations and security alerts.
  • Improve platform performance, diagnose technical issues, and develop new features.
  • Comply with applicable legal obligations.

4. Data Sharing and Disclosure

We do not sell your personal data. We may share information with trusted third-party service providers that help us operate the platform, including:

  • Clerk — authentication and user identity management.
  • Neon — managed PostgreSQL database hosting.
  • Cloudflare R2 — object storage for uploaded documents and photos.

Each of these providers processes data only as necessary to perform their services and is bound by appropriate data processing agreements. We may also disclose your information when required by law or to protect the rights and safety of FleetGuard, our users, or the public.

5. Data Retention

We retain your data for as long as your account remains active or as needed to provide services. If you delete your account, we will delete or anonymize your personal data within 30 days, except where retention is required by law or for legitimate business purposes such as fraud prevention or dispute resolution.

6. Data Security

We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, and role-based access controls. Despite these measures, no method of transmission or storage is 100% secure. We cannot guarantee absolute security but commit to promptly notifying affected users in the event of a confirmed data breach that affects their personal information.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate or incomplete data.
  • Request deletion of your personal data.
  • Object to or restrict certain processing activities.
  • Request a portable copy of your data in a machine-readable format.

FleetGuard uses essential cookies and session tokens required for authentication and platform functionality. We do not use advertising or tracking cookies. You may disable cookies in your browser settings, but doing so may prevent you from accessing authenticated areas of the platform.

9. Children's Privacy

FleetGuard is not directed at children under the age of 16. We do not knowingly collect personal data from minors. If you believe a minor has provided us with personal information, please contact us and we will take steps to delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page and, where the changes are material, notify you via email or an in-app notice. Your continued use of FleetGuard after any changes constitutes your acceptance of the updated policy.
